GUIDELINES

For 30-minute presentations, there should be up to two speakers.

For 60-minute panels, there should be 1 panel moderator and up to 4 panelists.

All speakers and panelists must sign a speaker agreement to participate. All speakers and panelists will be registered after the speaker agreement is signed.

Speaker FAQs

What date/time is my session? 

You can log into your Speaker Dashboard to see the dates/times of your associated sessions. The conference program will be live early-October, including room numbers.

Which room will my presentation be in? 

Sessions are located on W200 & W300 level rooms of the Orange County Convention Center in Orlando, FL. Knowledge Hub sessions will take place in theaters on the exhibit floor.

How long do I have to speak? 

Conference sessions can be 30-min presentations, or 60-min or 90-min panels. Knowledge Hubs sessions are 30 minutes or 1 hour. For 30-minute presentations, please plan for 20-25 minutes including Q&A.  If you are in a panel session the amount of introductory time you have will be determined by your panel moderator. Please consult with them.  

How many speakers are there in the session and who are they? 

You can find your session information once logged into your Speaker Dashboard or view all other sessions under our website tab, Program by mid-October.

When should I arrive? 

Speakers should be in the room where they are scheduled to speak at least 5 minutes before to set-up your computer and presentation BEFORE the session starts.  There will be an AV tech on hand to assist and a committee chair to introduce you. 

What should I bring? 

Speakers should bring their presentation on a USB OR their computer. Show management will not be able to provide access to any previously loaded presentations.  If your company does not allow for use of a USB, please bring your personal computer to access your presentation.

Do we need to meet ahead of time? 

This is entirely up to your session chair, but we recommend meeting with them the morning of your session in the Speaker Ready Room W205AB, if possible. Please confirm when they contact you in the 30 days before the conference.

What audio/visual equipment is provided? 

Screen, projector, microphone, laser pointer, and a laptop computer. Plan to prepare your presentation in 16:9 format (HD). 

How do I supply my presentation? 

Use a USB or your computer to access your presentation. Any presentations or handouts uploaded prior to the conference will ONLY be used for conference proceedings.

Am I registered? 

All primary speakers, co-presenters, panelists, panel moderators, and session chairs will be registered by Clarion Events upon completion of your Speaker Agreement.  Speakers receiving complimentary badges, chairs/committee can pick up their badges onsite at Registration beginning Monday, February 26th.  We urge you to pick-up badges the day before or a few hours prior to your presentation. 

What does my full-conference pass cover? 

You can see what is included in your Full Conference Pass here. Once you are registered, to add ancillary events, such as technical tours, workshops, etc. please log in to the registration portal here (link to come in October). 

Is there a speaker ready room?

Yes. You'll find stations to review your presentation and make changes if necessary.  Staff will be available to assist you with any presentation or session questions. Speaker Ready Room for DISTRIBUTECH®  speakers will be located in Room W205AB on the upper level of the Orange County Convention Center in Orlando, FL.

Can I get internet access for my presentation? 

Internet will only be available in the common areas, lobbies, and Speaker Ready Room There will NOT be internet in the conference rooms or exhibit hall. If you need to download your presentation, or check email, please use the Speaker Ready Room.  

Is there a slide template we are required to use? 

Yes. The template is available at the Speakers Hub.  
 

We request you use this template for your opening and closing slides.  Remember, vendor company logos are acceptable only on the opening and closing slides.  Utility logos are permissible on all slides.

When will I be contacted by my session chair? 

Your contact information will be given to the chair of your session about 30 days out from the conference. They will be asked to contact you to introduce themselves and answer any questions regarding content by February 2, 2024.
